Ardmore Initiative Hiring Administrative Assistant

The Ardmore Initiative is searching for a self-starter with strong interpersonal skills to immediately fill the role of Administrative Assistant for a temporary position that will last through the end of 2017. The position may become permanent in 2018.

Duties and Responsibilities:

  • Assist with the administration of Downtown Dollars, a gift card and incentive program for the Ardmore Business District. Under the guidance of the Executive Director and Assistant Executive Director, communicate guidelines to merchants and teach them how to set-up and use gift cards at their stores.
  • Perform administrative and office support duties for the Executive Director and Assistant Executive Director, including but not limited to answering and directing telephone calls, ordering office supplies, emailing stakeholders, receiving visitors, assisting in the preparation of reports, data entry, and maintaining filing systems
  • Provide event support, including but not limited to creating spreadsheets, communicating with vendors, tracking event finances and sponsorship dollars, and managing sales
  • Use Excel and Access to maintain and update business and property owner databases in formats necessary for in-office data searches, email contact lists, and both online and print directories. Maintain property occupancy and vacancy data and contact property managers to get up-to-date information.
  • Work with accountant to pay office bills, record transactions, and prepare financial reports. Assist accountant with the annual audit as needed.

Required Skills:

  • Strong computer skills, including Microsoft Office Suite (Access, Excel, Publisher, Word, Publisher)
  • Ability to operate office equipment, such as fax machine, copier, and phone systems
  • Experience in retail preferred but not required
  • General knowledge of Quickbooks preferred
  • Strong interpersonal skills

Required Education:

  • College degree preferred
  • 1-3 years administrative experience preferred

Job Specifics:

  • Part-time position, Monday to Friday, 15-20 hours
  • Additional hours may be needed on occasion
